The Assistant Head of School for Finance and Operations is accountable for the total financial and operational health of St. Patrick’s Episcopal Day School. S/hemanages all activities designated as Business Office responsibilities including budgeting, financial analysis and reporting, physical plant and grounds, risk management and insurance, transportation, employee compensation and personnel policies, facilities leasing, and District of Columbia and federal government compliances. Direct reports are as follows: the Facilities Manager, who supervises a six-person maintenance staff; the Director of Information Technology; and Business Office personnel, including the Controller, the Assistant Controller, the Financial Analyst, and the Accounts Payable Specialist. 

Specific responsibilities of the Assistant Head of School for Finance and Operations include the following: 

• Providing counsel and support to the Head of School, Board of Trustees, and other senior staff members on all matters pertaining to finance and operations. 

 

• Leading and directing the preparation of the operating budget, including incorporating input from key administrators and faculty, and managing the budget upon its approval by the Board. 

 

• Developing financial models and projections for strategic planning, business planning, and budgeting that balance the school’s current reality with its aspirations. 

 

• Overseeing banking relationships, cash and debt management, and investment of operating cash, reserve funds, and endowment. 

 

• Directing day-to-day accounting and finance activities and refining appropriate policies and procedures that optimize cost-effective performance and achieve maximum operating efficiencies. 

 

• Collaborating with the Office of Admission and Financial Aid in planning and projections for the Financial Aid Program to ensure its effective functioning within budgetary limits set by the Board of Trustees. 

 

• Initiating and managing review of all Day School cost centers, spending patterns, and service contracts.

• Overseeing all construction and renovation, including working with local government officials and outside contractors. 

 

• Working cooperatively with outside auditors in conducting the annual audit and implementing recommended improvements to procedures and controls. 

 

• Collaborating with business officers at other independent schools across the region and the nation in order to share best practices and to stay abreast of relevant topics and trends in the field. 

 

• Nurturing and respecting the relationship between the Church and the Day School, recognizing that the Assistant Head of School for Finance and Operations’ ultimate accountability is to the overarching legal entity, the Vestry of St. Patrick’s Parish. 

 

• Mentoring, supporting, retaining, and, as necessary, hiring knowledgeable, committed, and hardworking staff members.

• The ability to analyze an established operation, perceive areas of strength and need, and then create or modify existing systems and policies in an effort to maximize efficiencies. 

 

• Familiarity with physical plant management, including financing, real estate development, construction, maintenance, and day-to-day operations. 

 

• Skilled at engaging with a vibrant Church-Day School community comprised of a variety of constituencies such as clergy, faculty and staff, children and their parents, parishioners, and various Church and Day School leaders.
